Why Move to the Cloud (and When You Shouldn't)
Cloud isn't automatically right for every business. We'll tell you straight if it's not. But for most NZ SMEs in 2026, here's what cloud unlocks:

Cloud isn't the right call if you have heavy line-of-business apps tied to local hardware (some CAD, some POS, some manufacturing systems), strict on-prem data sovereignty requirements, or rural sites where the internet is the bottleneck. We'll work through this with you in the assessment.
Our 4-Phase Migration Approach
1. Assessment & Plan (1–2 weeks)
We sit down with you (in person if you're in Waikato, on Teams otherwise) and audit what you've actually got: email, files, line-of-business apps, devices, internet, who uses what, what the pain points are. You walk away with a one-page plan — what's moving, what's staying, what it'll cost, and a realistic timeline.
2. Build & Configure (1–4 weeks)
We set up your new cloud tenant — Microsoft 365, Google Workspace, Azure, or AWS — properly. That means tenant settings, identity (MFA on day one), security baselines, mail flow, file permissions, and any integrations you need. None of this touches your live systems yet.
3. Pilot & Cut-over (1–2 weekends)
We pilot the new setup with a small group first, fix anything that surfaces, then run the main cut-over on a Friday night or Saturday so staff log in Monday to the new system. Email, files, and access all in place.
4. Hypercare (2 weeks post-migration)
We're available daily for the first fortnight after cut-over. Small things always surface — printers, weird shortcuts, that one Excel file someone forgot to mention. We sort them as they come up.
What We Actually Migrate
- Email — from on-prem Exchange, hosted Exchange, IMAP, or another cloud provider into Microsoft 365 or Google Workspace
- Files — file server shares into SharePoint, OneDrive, or Google Drive with permissions preserved
- Identity — Active Directory into Entra ID (Azure AD) for single sign-on
- Servers — physical or virtual servers into Azure or AWS where the workload makes sense
- Line-of-business apps — Xero, MYOB, Vend, Tradify, ServiceM8 — we set up SSO and access controls
- Phones — old PBX systems into Teams Phone or 3CX cloud
Cloud Platforms We Work With
Microsoft 365 & Azure
The default for most NZ SMEs. Email, Office apps, Teams, SharePoint, OneDrive, and Azure for any server workloads. We're vendor-neutral but most clients land here for good reason.
Google Workspace
A clean fit if your team already lives in Gmail and Docs, or you want simpler licensing. We migrate from Microsoft to Google just as often as the other way around.
AWS
For specific workloads — typically when you've got a developer team or you're running infrastructure that's already AWS-shaped. We'll be honest if it's overkill for you.
Hybrid
Some on-prem, some cloud. Common for businesses with legacy apps that aren't ready to move yet. We design hybrid setups that actually make sense rather than ending up with the worst of both worlds.
What It Costs (Roughly)
We don't quote without seeing what you've got, but for context — most Matamata / Waikato SME migrations we do land in these ranges:
- Small migration (5–15 users, email + files) — typically $2,500–$6,000 one-off, plus ongoing licensing
- Medium migration (15–50 users, server workloads, integrations) — typically $6,000–$18,000 one-off
- Complex migration (50+ users, multi-site, line-of-business apps) — scoped individually
Monthly licensing for Microsoft 365 Business Standard is currently around $26 per user. Google Workspace Business Standard sits at roughly NZ$22. We pass through Microsoft and Google pricing — no markup on licences.
Frequently Asked Questions
Will my staff lose access to email during the migration?
No. We run mail flow in parallel so email keeps arriving throughout the migration. Most cut-overs happen on a Friday night and staff are working in the new system by Monday.
What happens to our old emails and files?
Everything gets migrated. Inboxes, sent items, folders, calendars, contacts, shared mailboxes, public folders, file shares with their permission structure — it all comes across. We also keep a backup of the source for at least 90 days.
How long does a migration take, end to end?
For a 10–20 person business, typically 4–6 weeks from kick-off to hypercare wrap-up. Larger or more complex businesses 8–12 weeks. We don't rush the planning phase — that's where the value is.
Can you migrate us if we're outside Waikato?
Yes. We do most of the work remotely anyway. We're happy to come on-site for businesses in the Waikato region (Hamilton, Cambridge, Te Awamutu, Tauranga, Matamata, Morrinsville). Elsewhere in NZ we work remotely and via courier for any hardware swaps.
Do you handle the data sovereignty / Privacy Act side?
Yes. We configure tenants to use the Australia data region by default (the closest Microsoft and Google regions to NZ), document data flows, and help you align with Privacy Act 2020 requirements as part of the migration plan.
